Doodle is a tool used primarily in the College of Doctoral Studies to coordinate and manage meeting times between GCU faculty, staff, learners, and other committee members. Through Doodle, you can set your available hours that can be seen by those you need to meet with, allowing meeting participants to quickly agree upon a meeting time that works for everyone. This will prevent double booking and unneeded back-and-forth emails and will help save time.
While GCU Technical Support can provide general information on how to log in and coordinate meetings within Doodle, it is a third-party service and extensive use and troubleshooting of the tool is outside of our scope of service.
Access Doodle by navigating to: https://doodle.com/en/
You can then log into the site by clicking Log in on the top-right corner.
To log in, enter the email address and password that you used when creating your account.
If this is your first time logging in, scroll to the bottom of the login page and click the Sign up button.
To create a new account, enter your preferred email address. We recommend using a GCU email to avoid confusion between the meeting's participants.
After entering your email, you’ll be prompted to enter your full name and create a password. The name that you enter will be used as the display name to the others that you coordinate with. You’ll need to agree to Doodle’s Terms of Service and Privacy Policy before continuing, then click Create account.
You’ll need to verify your email before being able to create or accept meeting invitations. You’ll be automatically signed into Doodle after creating your account.
You’ll need to set your default time zone, as proposed meeting times will be adjusted automatically according to what you have set. To do so, click your initials in the top-right of the page and click Account Settings from the dropdown menu.
Select Profile.
Scroll to the bottom of the page and set your preferred time zone under Default time zone.
To begin coordinating a meeting, click Create in the top-right corner next to your initials.
Click Create group poll.
Enter a Title for the meeting. You can optionally add a description and location of the meeting as well. Avoid enabling the Video conferencing toggle as meetings will primarily take place outside of Doodle.
Scroll down to Add your times. To do so, click directly onto the calendar on the dates and time slots that you are available to meet. Once a time slot is added, you can remove it by clicking on the x in the corner of the time slot or click and drag the bottom of the time to extend the available time. Once all your available times are added, click Create invite and continue.
To invite participants, click Share invite on the next page.
You can then copy the provided link and send it to potential meeting participant or click Email it with Doodle to automatically email the link to potential participants.
Once participants have clicked your provided link, they will be able to agree on meeting times based on the time slots you provided for your availability. You can then see who has agreed to each proposed time slot. After all potential participants have entered their availability, click the star above the date/time that the meeting will take place, then click Book it to finalize the meeting.
If you were sent a Doodle invite link, you can agree to meeting time slots based on the coordinator’s entered times of availability. Clicking the link will take you to a calendar view of proposed time slots. Select the time slot(s) that you are available for a meeting and click Submit your selection. If none of the time slots are within your availability, click Cannot find a time to inform the coordinator that you cannot find a proposed time slot within your availability.
After submitting your selections, you will receive a confirmation that your selection has been submitted. You choose Edit your selection to make any needed edits and/or toggle on Get event updates to receive updates regarding the event such as participant selections, new time slot additions, etc.
Once the meeting coordinator has booked the meeting time, you will receive an email notification and can view the finalized meeting details.
