The dissertation process for doctoral students requires involvement from multiple parties. The student’s committee (consisting of their Chair, Methodologist, and Content Expert) are tasked with approving two key dissertation stages (D35 and D65). Dissertation stages are monitored and approved through the Doctoral Portal, which is used by committee members (faculty/chairs/content experts) to review and approve dissertation stages. Students will not have access to the Doctoral Portal.
To access the Doctoral Portal, navigate to dissertation.gcu.edu.
Dissertation stages must be approved by each committee member in the following order:
Chair > Methodologist > Content Expert
Logging In
The login steps differ depending on whether you are an internal or external committee member. Internal members will need to use their @gcu.edu or @my.gcu.edu email addresses, while external members will need to use a personal email.
- Click the link that was provided in the email from doctoralforms@gcu.edu.
- Click the GCU.EDU LOG IN button that appears to the right of the login box. You can then enter your GCU email and network password.
NOTE If you went directly to dissertation.gcu.edu instead of clicking the link provided in the email, you may be asked to Accept Permissions.
After accepting, you will then be asked to register your GCU email address into the system. Enter your GCU email address and click Register.
- Once logged in, you should see a list of students with whom you are mentoring.
- Navigate to dissertation.gcu.edu
- Click Register as a new user
- Fill out the required fields.
- The email address used to create an account must be the same email faculty services has on file. If you are unsure what faculty services has on file, please reach out to them for clarification.

Navigating the Doctoral Portal
Once logged in, you will see a dashboard with a list of students that you are mentoring.
- Dissertation Stage: Lists the stage(s) that are complete / in progress
- Dissertation Status: Represents the approval progress of a specific stage / form
- My Role: Identifies what role you fill for your student
- LDP: Links to your student’s LDP
Clicking your student’s name from the dashboard will provide more information about them.
Committee information is also provided on this page. From here, you can view the names and email addresses assigned to your student, your student’s current course (if applicable), and the course start date.
The Dissertation and Dissertation Stages sections provide information about your student’s proposal and approval stages.
Before a committee member can review anything for the learner, the learner’s chair will need submit a request to the committee member initiating a review. Chairs will need to go through the following steps to submit the request.
- To initiate a review click on the learner’s first or last name.
- Next, select Initiate Review.
- Once the initiation page appears, fill out the required information including the Type of Review, Who to send the Review to, Notes, and any documents for review.
- Once you have entered everything for the review, select Submit.
- There will be a confirmation message and the committee member will now receive an email to review the dissertation.
After a chair has initiated a review, the committee member will receive an email indicating a review is ready. In the email, it will state how to access and review the document, either downloading it or through the Review Queue. The following steps will walk through using the Review Queue to approve the document.
- Log into the Doctoral Portal.
- Select My Review Queue.
- To download and review the uploaded documents, click on Original Submission.
- To provide a response to the review request, select InReview.
- On the Review page, fill out all the required information including the Review Outcome, Recommended Committee Meeting, Notes to Chair, and the document with the required revisions.
- After you enter all the required information, select Submit.
- A confirmation email will be sent to the chair and committee member explaining that the review has been finished.
Troubleshooting
Internal committee members: Passwords can be reset through the password reset process, which can be completed after selecting the GCU.EDU LOG IN button on the doctoral portal login page.
External committee members: Passwords can be reset via the reset options available on dissertation.gcu.edu.
Incorrect Registration
It's possible for an internal committee member to register their @gcu.edu / @my.gcu.edu email address using the external committee member login option. If you're an internal committee member who cannot log in through the GCU.EDU login options after troubleshooting, it's possible this situation applies.
Since internal committee members generally serve in a faculty capacity as well, it's likely that you reset their password for the Faculty Portal and are attempting to log into the Doctoral Portal with that new password. If you incorrectly set up your Doctoral Portal account through the external registration process however, your account is not synced to your faculty account, and therefore the password for the Doctoral Portal will be different from all of your other login credentials. To verify if this situation applies to you:
- Try logging in using the external login options. You should use the GCU email as your username.
- If you log in successfully, great! Verify that you can see the information you need inside the Doctoral Portal. Then proceed to step 3.
- If you cannot log in, proceed to step 2.
- If you cannot log in, click the Forgot Your Password? link and complete the reset steps.
- If you still cannot log in after completing the reset process, your account will need to be escalated. Please contact GCU Technical Support so we can escalate this.
- For all future login attempts to the Doctoral Portal, you will need to use the external login options. Even though your account is set up incorrectly, you can log in successfully and therefore the issue does not need to be escalated at this time.
First, confirm that the student SHOULD be showing up. Check the student’s schedule and confirm that they have completed one of the following:
- PSY-825 or PSY-885 (will be one or the other)
- PCE-885
- RES-885
- DBA-885
- RES-871
If you receive an error message that states “nothing happens” after clicking the Approve button, try basic troubleshooting.
If the issue persists, it may be because there is no committee member next in line. The approval process moves from the Chair -> Methodologist -> Content Expert. If no Content Expert is listed on the student’s account, the Doctoral Portal website doesn’t know where to send the form and won’t allow the Methodologist to approve.
If a committee member is missing, the issue will need to be escalated. Please contact GCU Technical Support so we can escalate this.To determine the cause, try the following steps in order:
- Approval emails are sent to the email address that we have on file. Also, confirm that you are checking the right inbox.
- If you are checking the correct inbox, try checking your Spam/Junk folders.
- If the email still cannot be located, confirm that the previous committee member approved the applicable form. If they did not, this is the problem. The previous committee member will first need to complete the approval before the next committee member in line can do so.
If none of these steps resolved / explained the missing email, the issue will need to be escalated. Please contact GCU Technical Support so we can escalate this.
