To track the status of your application, log into gcuirb.imedris.net with your GCU email and password. Once you are on your iRIS home page, hover over Study Assistant and select My Studies.
You will be routed to the My Studies page. The Study Status column will provide you with the status of the application. Here is a list of definitions for each type of Study Status that can appear.
Study Status | Definition |
Open | Submission has been approved by the IRB Office. |
Approved | The researcher has received expedited or full board review approval. |
Approved with Conditions | The researcher must obtain a specified stipulation before receiving approval. (This stipulation will be specified in the approval letter. The researcher cannot collect data until the stipulation is met, and once stipulation has been submitted to the IRB.) Once it's been approved, the researcher will receive an official IRB approval letter to collect data. |
Expired | The study has expired. Studies expire after one year unless the researcher submits a continuing review. |
Draft | The researcher has not submitted their submission packet or sent in their application. |
Pending - Submitted for Initial Review |
If the researcher is a GCU Student and has a supervisor on their study, the submission has been routed to the supervisor. The supervisor has the opportunity to deny the submission which allows the researcher to revise their submission and re-submit. This process can be repeated as many times as necessary before supervisor approval. Once it is approved by the supervisor, it will be routed to the IRB Office. Note: Supervisor approval does not qualify as approval to start collecting data. The researcher must receive an official IRB approval letter first. |
Assigned to Reviewer | This status indicates that the study application has been assigned to an IRB reviewer for review purposes. |
Pending - Outside IRB Approval Received | This status indicates that the researcher has prior IRB Approval. It notifies the GCU IRB Office so the submission can be assigned appropriately. |
Revisions Requested | The IRB Office has requested revisions from the researcher. A task will appear on the researcher's homepage notifying them to complete the requested revisions. |
Revisions Complete | The researcher has completed any revisions that were requested by the IRB Office, and has successfully submitted them for additional review. |
Withdrawn | The application was withdrawn from iRIS by the IRB team. Typically, this is done when the application was submitted too early and/or contains errors. Withdrawn applications cannot be edited, but should still be visible within "My Studies". |
Click the Pencil and Pad icon for the application you would like to track.
Select Initial Review Submission Packet.
Select In Process under Track Location.
You are now on the Submission Tracking page, which will contain detailed Event Descriptions. Think of this page as you would if you were tracking a package.
Here are some definitions for important event descriptions:
Event Description | Definition |
Initial Review Submission Packet is waiting to be submitted | The submission packet is waiting to be submitted. The Principal Investigator (you) has not yet signed off on the submission. |
Submission Reviewer by Assigned User: [Supervisor/Chair Name] | The submission has been assigned to [Supervisor/Chair, etc.] for initial review. They will approve or deny the submission. If they deny the submission, the researcher will have the ability to make changes to their submission packet. If they approve the submission, the packet will be routed to the IRB for review. |
IRB College _________ Received the Submission | The submission has been routed to the IRB for approval and it is under review. |
IRB - College of Doctoral Studies Committee assigned a Pre-review action of Exempt | The review process has been determined by the IRB. The review processes are: assigned to an agenda, exempt, expedited, pre-review corrections, or process administratively. |
